Volunteer - Usher, Ticket Scanner, Will Call or Greeter for Scalia/Ginsburg Performances

Volunteer Duties Outline 

Scalia/Ginsburg Performances: April 10th (8:00pm), 12th (2:00pm), 16th (7:30pm) & 17th (7:30pm)

House opens 60 minutes prior to curtain. If you have never worked the position you have volunteered for, we ask you arrive 90 minutes prior to curtain for a brief tour of the facility + training. If you have volunteered for a position before, you may arrive 75 minutes before curtain. All volunteers are invited to attend the Final Dress Rehearsal so they may see the show without having to be “on” and working.

Usher:

Ushers will be stationed at various locations within the Toebbe Hall to maximize accessibility to our patrons. They will be expected to move around as needed to assist anyone to their seat or direct patrons to restrooms, then return to their “home base” location until the start of the show. A common, specific duty will be setting patrons’ walkers to the side aisles and bringing them back to patrons as needed. Also, ushers will be holding our OperaBills (our version of a PlayBill) to distribute to patrons as they take their seats.

Once the curtain speech begins, ushers may take any empty seat to watch the show. As the performance takes place, please be mindful of any issues that may need the attention of the Front of House Manager and alert a staff member when needed. Please stay after bows to assist any patrons with walkers as needed.

Ticket Scanner:

Tickets Scanners will be positioned at each the of two entrances to the Toebbe Hall. The Front of House Manager will walk you through the login process on the ticket scanning devices and use those devices to scan each ticket before every patron enters the hall. When patrons have questions, you may direct them to the ushers available within the hall itself for answers. If there are any scanning errors, direct that patron & their party to the Box Office window to troubleshoot the issue. For this event, we will be utilizing Extra Seat Passes (ESP) which are tickets issued after a performance has sold out. These are vertically oriented tickets (as opposed to horizontally oriented, regular tickets) so they can be quickly identified. Since these ticket holders could not reserve advance tickets, we want to ensure those that reserved their seats ahead of time can enter the hall first. Once the curtain speech begins, ESP holders may enter the hall to take any available seat.

Once everyone is scanned in, Ticket Scanners may take any available seat to watch the show. As the performance takes place, please be mindful of any issues that may need the attention of the Front of House Manager and alert a staff member when needed.

Will Call:

The Will Call window is stationed in the Carol Sharpe Harper Lobby just inside the Main Entrance. This is separate from the Box Office window to reduce lines and waiting time. The will call box is organized alphabetically by patron last name. A list of all orders made for the performance (called a Performance Seating Book) will be available in the event you are unable to find a patron’s tickets. Please write the order number, if one exists, on a post-it to give to the patron to take to the Box Office window. The Box Office will be able to reprint their tickets and/or troubleshoot any issues.

If anyone turns in a ticket that will not be used, please hand that ticket to the Door Greeter to pass along to the Box Office window, who will release the ticket and open up that seat for another patron to reserve. About 2 minutes to curtain, you may take any tickets not picked up to the Box Office window, and they will distribute them at that time.

You may then take any available seat to watch the show. As the performance takes place, please be mindful of any issues that may need the attention of the Front of House Manager and alert a staff member when needed.

Coat Check (if needed):

If the weather calls for it, there will be a table set up in front of a mobile hanger rack for Coat Check. We do not charge for patrons to check their coats or bags. Coat Check will be located inside the Main Entrance and to the right, past the Ticket Sales window. There are numbered, paper tags that hook onto each hanger. There is a perforation where a number can be torn from the bottom of the tag to give to the patron, then used after the performance to match the number to the hanger to find their coat. Once the curtain speech begins, Coat Checkers may take any empty seat to watch the show.

As the performance takes place, please be mindful of any issues that may need the attention of the Front of House Manager and alert a staff member when needed. Once bows begin, please make your way to the Coat Check table to assist patrons with their items as they are leaving.

Door Greeter:

Stationed at the Main Entrance in front of our large Kentucky Opera Center for Cultural Health sign. Greet patrons as they enter the building, and ask if they already have their tickets. If so, direct them to the Ticket Scanner to enter Toebbe Hall. If not, ask if they need Will Call to pick up tickets they have already reserved, or if they need to reserve a ticket. Direct them to the Will Call table or Box Office Window as appropriate. You will also be distributing paddle fans to any patron who would like one. We must turn off the HVAC system during the show due to noise, so these fans can be very important, depending on the weather. There will be a box under the Marketing table to replenish your supply as needed.
